Getting Started with Microsoft Teams
Microsoft Teams is a collaboration app that lets your team stay organized and have conversations all in one place. In this tutorial, you’ll learn how to use it.
Within the Microsoft Teams app, the “Teams” icon will show you all of the teams that you’re a part of. Teams are made up of channels broken down by topic. Within each channel you can hold meetings, have team conversations, and share files.
- To see all the files ever shared by the team, click the “Files” icon at the left of the screen.
- To start a conversation with one or several members of your team, press the “Chat” button and type of the name of the people you want to reach. You can also make video and audio calls directly from chats.
- In “Meetings” you can view your weekly schedule and easily create new meetings.
- “Activity” will show you everything that has happened on your teams and all of your unread messages, replies, mentions and more.
- To globally search for specific items or people app or take quick actions and launch apps use the command box at the top of the screen.

In Microsoft Teams, “Teams” are groups of people brought together for work, projects or common interests. Teams are made up of channels that are built around a specific topic.
- Channels are where you hold meetings, have conversations and work on files with your team members.
- At the top of each channel, you’ll find tabs that are essential links to your favorite files, tabs and services.
- To add a tab, click the “plus” icon to the right of the tabs.
- If you have a lot of channels, you can keep track of the important ones by marking them as favorites by clicking the “star” icon next to the channel. Should you want to remove it from favorites or take other action over that channel, click the three dots to the right of the channel for action options.

If you want to talk privately with one person or several members of your team, you can utilize the “Chat” function in Microsoft Teams to do so.
- To start a new Chat, click the “New Chat” icon at the top of the app. Then type the name of the person or people you want to reach.
- If you have multiple chats and want to stay organized, you can name your Chat by clicking the down arrow at the right of the screen.
- And if you click the three arrows at the right of any conversation you can select “Favorite” to keep that conversation at the top of your Chat history.
- When you want to call someone directly from a chat, click “Video call” or “Audio call” at the top right corner.
- In “Calls” you can check your call history and check voicemails.

There are two ways to start an instant meeting in the conversations tab of a channel –
- The first option is to go to the bottom of the channel where you type messages and select the “Meet now” camera icon.
- The second option allows you to keep the context of a specific conversation. First click reply, then select the “Meet now” camera icon.

In this Microsoft Teams 365 tutorial, you’ll learn how to upload and share files in Microsoft Teams.
- If you want to share a file with your team in Microsoft Teams, you can quickly attach it to any conversation by pressing the “paperclip” icon underneath any conversation thread.
- Once you’ve selected that, choose the “Upload from my computer” option and select your desired file.
- Before sharing, you can write a message or tag a team member as a post to accompany the file.
- If you want to find the file after you’ve shared it, click the “Files” tab at the top of the channel and you’ll be able to see every file ever shared with the channel.

You can work together from anywhere with Microsoft Teams file collaboration. This video tutorial will show you how to work on the same document at the same time as your team members.
- In a team conversation or in the files tab, select “more options” next to the file.
- Choose if you want to edit the file in Teams, on your desktop, or online. Then, edit the file. Colored flags will show who else is working on it with you.
- Next, select “start conversation” to add a message about the file. Type your message or @mention someone and select “send.”

Need to share your screen in a meeting? As you’re working from home, remote screen sharing is simple in Microsoft Teams.
When you’re in a Teams meeting, open the share tray and choose what you want to show. • Desktop lets you show anything from your screen • Window is for a specific app. • PowerPoint is for a presentation, or you can select “browse” to find the file you want. • Whiteboard lets you collaborate visually.
Once you’re finished, select “stop presenting.”

Did you know you can schedule a meeting with Microsoft Teams? In Microsoft Teams simply click on Meeting and schedule a Meeting. You can select a channel so an entire team can join, invite individuals, or both. Find a time that works for everyone by using the Scheduling assistant which shows you everyone’s availability. When you schedule the meeting it posts to Conversations in the selected channel and the agenda, content, notes and recordings are all captured in the Teams channel.
